Privacy Policy

What we collect, why we collect it, and what we do with it.

Last updated: October 29, 2026

1.Who we are

Learn4Less Tutoring Services Ltd. ("Learn4Less", "we", "us") provides mathematics tutoring, workshops, and related learning resources to students in British Columbia, Canada and elsewhere. This policy explains what personal information we collect through learn4less.ca, why we collect it, and what we do with it.

We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).

2.Information you give us

We collect information you enter into forms on this site. Depending on the form, that includes:

  • Your name, email address, and phone number.
  • The course, grade, or school you are asking about, and the message you write us.
  • For workshop registrations, the same contact details plus which workshop you signed up for.
  • For job applications through our Join Our Team page, your background, availability, and what you tell us you would bring to the role.
  • For a PDF of a formula sheet you build in Concept Review, your email address together with the list of formulas and figures you chose, so we can send you the download link.

You choose what to send us. Every form asks only for what we need in order to reply and arrange the service you asked about.

3.Information we create as you use the service

If you become a tutoring client, we keep records needed to run the service: your scheduled and completed sessions, their duration and rate, payment status, any account credit, and notes our team adds about your sessions.

If you create an account, our authentication provider stores your sign-in credentials and basic profile. We never see or store your password.

If you sign in with Google, Google shares your name, email address, and profile picture with our authentication provider, Clerk, which uses them to create your account and sign you in. That is all we receive. Signing in with Google does not give us access to your calendar, email, contacts, or files, and students and parents are never asked for that access.

If you buy access to a recorded workshop, we record the purchase and the date your access expires.

4.How we use your information

We use your information to:

  • Reply to your enquiry and arrange tutoring, workshops, or a conversation about working with us.
  • Schedule, deliver, and keep records of tutoring sessions.
  • Send invoices, payment links, and reminders about unpaid sessions.
  • Send reminders and follow-ups for workshops you registered for.
  • Email you the link to a formula sheet you asked for in Concept Review, and follow up once about calculus tutoring. Requesting a sheet does not add you to a mailing list.
  • Improve the site and understand which pages people find useful.

We do not sell your personal information, and we do not use it to build advertising profiles.

5.Email and SMS communications

When you give us your phone number on one of our forms, you agree that we may contact you by SMS text message about the request you made. The messages we send are:

  • Confirmations that we received your booking request, message, or application, and when to expect a reply.
  • Reminders before a workshop you registered for, including the link to join, and a short feedback survey afterwards.
  • Service messages about your tutoring, such as scheduling follow-ups and reminders about sessions that are still unpaid.
  • Replies from our team to questions you send us. Our number accepts two-way messages.

Message frequency varies and depends on your own activity — typically one to three messages per request. Message and data rates may apply. We do not send promotional mass texts.

You can stop receiving SMS from us at any time by replying STOP to any message, and you can reply HELP for assistance. You may also email us or call us to be removed. Opting out of SMS does not affect the tutoring service itself; we will use email instead.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. No mobile information is sold to third parties. The only parties that handle your phone number are the service providers listed below who deliver messages on our behalf, and they may not use it for their own purposes.

We also send email for the same reasons. Transactional email — a confirmation, an invoice, a workshop link — is part of the service you asked for.

6.Service providers we share information with

We use a small number of established providers to run the service. They process information on our instructions and only for the purpose stated:

  • Supabase — stores our database and uploaded files.
  • Clerk — handles account sign-in and authentication.
  • Stripe — processes payments. Your full card details go directly to Stripe and are never stored on our systems.
  • Resend — delivers our email.
  • Twilio — delivers our SMS messages.
  • Vercel — hosts the website.
  • Google Analytics — measures site usage, as described below.
  • Google — lets you sign in with your Google account. For tutors who choose to connect it, Google Calendar also receives their sessions, as described in the next section.

Some of these providers store or process data outside Canada, including in the United States. Information held in another country may be accessible to that country's courts and law enforcement under its laws.

Beyond these providers, we disclose personal information only when you ask us to, or when we are required to by law.

7.Google Calendar for tutors and staff

This section applies only to Learn4Less tutors and administrators. Students and parents are never asked to connect a calendar.

A tutor or administrator can choose to connect their own Google Calendar from the tutor portal or the admin settings, so that the tutoring sessions they teach appear on it. Connecting is optional, and the rest of the service works the same without it.

What we access. When you connect, Google asks you to allow Learn4Less to see, create, change, and delete events on the Google calendars you own (the Google Calendar "calendar.events.owned" permission). We use that permission only to:

  • Create an event on your primary calendar for each session you teach, past and upcoming.
  • Update that event when the session is moved, re-timed, or given a length, and delete it when the session is cancelled, deleted, or reassigned to another tutor.
  • Find the events Learn4Less created, so that a session is never added twice and so that we can remove them all if you ask us to when you disconnect.

We do not read, copy, or store any other event on your calendar, the people invited to them, or any other data in your Google account. We never invite anyone to the events we create, and Google sends no email about them.

What we store. Your Google account's email address, the access and refresh tokens Google issues for the connection (encrypted before they are stored), and when your calendar was last synced, along with the last error if a sync failed. We store none of your calendar's contents.

What goes into your calendar. Each event shows the student's name, their course code, the number of students for a group session, the date, time, and length, and a link back to Learn4Less. Events are created as private, so people you share your calendar with see the time as busy but not the details.

Sharing and use. We do not sell data received from Google APIs, use it for advertising, or share it with anyone else. We do not transfer it except as needed to provide or improve this calendar feature, for security, or to comply with the law. Our staff do not read it unless you ask us to help with a problem, it is needed for security or to investigate abuse, or the law requires it. We do not use data from Google APIs to develop, improve, or train generalized or non-personalized AI or machine-learning models.

Disconnecting and deletion. You can disconnect at any time from the same page. When you do, we revoke our access with Google and delete your tokens right away. You can also choose to have every Learn4Less event removed from your calendar at the same time. You can also revoke access from your Google account at https://myaccount.google.com/permissions. Our connection then stops working, and we delete the stored tokens when you disconnect or when you ask us to. To ask for that, email info@learn4less.ca.

Learn4Less's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

For students: if your tutor has connected their Google Calendar, your sessions appear as private events on your tutor's own calendar, with your name and course. Nothing is added to your calendar, and you receive no invitations.

8.Analytics and cookies

We use Google Analytics and Vercel Analytics to understand which pages are visited and how people arrive at the site. These tools set cookies or similar identifiers and collect technical information such as your approximate location, browser, and the pages you view. We use this in aggregate to improve the site, not to identify you personally.

Our sign-in system also sets cookies that are necessary to keep you logged in. The site does not work correctly without those.

You can block or delete cookies in your browser settings, and most browsers offer a Do Not Track setting.

9.How long we keep information

We keep enquiries and applications for as long as they are useful for following up, and business records such as session and payment history for as long as we are required to for accounting and tax purposes. When information is no longer needed for the purpose it was collected for, we delete it or remove what identifies you.

10.Security

Access to our administrative systems is restricted to authorised staff and protected by authentication. Data is transmitted over encrypted connections and stored with the providers listed above. No system is perfectly secure, and we cannot guarantee absolute security, but we take reasonable steps appropriate to the sensitivity of the information we hold.

11.Your choices and your rights

You can ask us to show you the personal information we hold about you, correct it if it is wrong, or delete it where we are not required to keep it. You can withdraw your consent to being contacted at any time, subject to any legal or contractual obligations that remain.

To make any of these requests, email info@learn4less.ca or call (778) 554-3321. We will respond within a reasonable time, and normally within 30 days.

If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia, or the Office of the Privacy Commissioner of Canada.

12.Children

We tutor students of high-school age and above, and we know that some are under the age of majority. Where a student is a minor, we expect a parent or guardian to make the booking or to consent to it. If you believe a child has given us personal information without that consent, contact us and we will remove it.

13.Changes to this policy

If we change this policy we will update the date at the top of this page. Material changes to how we use your information will be communicated to you directly where we are able to.
